Provost & Deiss Awards for Graduate Research Instructions for Departments/Programs

The Graduate College’s longest-running support for research by graduate students at UIC is the Provost’s Award for Graduate Research and the W.C. and May Preble Deiss Fund for Biomedical Research Award; which are collectively called the Provost/Deiss Award. The Provost's Award is open to all graduate students currently enrolled at UIC and the Deiss Fund is for graduate students engaged in research in clinical or basic medical sciences.

Students may apply on a competitive basis for awards of $1000 to $3000 to support their research. Awards will be made in two competitions annually, once in Spring semester and once in Fall semester.

Documents Required and Instructions

To nominate a student for the Provost's Award for Graduate Research and/or the W.C. and May Preble Deiss Fund for Biomedical Research, programs must submit a single PDF file for each nominee (contents listed below) to the Graduate College by the posted deadlines via the link provided at the bottom of this page. No extensions will be granted. Nomination PDF files consist of the following materials compiled in the order specified.

  1. The student completes the online Application, Guarantee of Matching Funds (if total amount requested is greater than $2,000), Budget Proposal, 700-word statement, and a condensed cv (not over two pages) forms (Word template).

    The student is also instructed to secure written approval and signature for any requested matching funds, from the person providing the funds, if applicable.  This is for the student's records and may be requested from the student by the Graduate College at a later date.

  2. The student submits the completed forms (five forms in one file) listed above via email to the department/program.  The student is instructed to communicate with their department to determine to whom the file should be directed. 
  3. Additionally, the student is instructed to request a confidential endorsement (on letterhead) from the advisor (or research director), on letterhead. This endorsement should be sent by the advisor directly to the department/program for inclusion in the completed application file.
  4. The department/program will add endorsement letter from the advisor (or research director) to the forms submitted by the student. This is the second-to-last page.
  5. The department/program completes the Director of Graduate Studies/Department Head Approval Form and adds it as the last page of the application file.
  6. The department/program names the file, using the naming conventions described below, and uploads the file to the Graduate College by the submission deadline.

    Please prepare nomination packets carefully. Poorly prepared or incomplete nominations are a common cause of otherwise deserving students failing to receive awards.

  • The PDF files should be saved using the following naming convention:

    PD_YearofAward_ProgramNameAbbreviation_NomineeLastNameFirstInitial.pdf

    Example – AY 2017-2018 nominee from History named William Smith:

    PD_2017_Hist_SmithW.pdf 
     

  • Do not have spaces in the pdf name.
  • The Graduate College uses University of Illinois Box for all submissions. When you are ready to upload files to the Graduate College, go to the Box widget below corresponding to your correct division. Programs are responsible for making sure their nominees are uploaded into the correct folder.
